Reports & Analysis

Quasar provides information screens throughout the system for monitoring your business. Each functional area (Ledger, Sales, Purchasing, Inventory) has its own inquiry, list, and reporting screens. In addition, a server-based Report Library provides printable financial statements, analysis, and operational reports.

Ledger

The Ledger area provides screens for reviewing your general ledger, journal entries, and account activity.

Account Inquiry Ledger → Inquiry Drill into any GL account to see its transaction history, opening/closing balances, and net change. Double-click any transaction to open it. Help
Find Transactions Ledger → Find Tx Search for transactions by number, date, amount, customer/vendor, or reference. Double-click a result to open the source transaction. Help
Account List Ledger → Account List Browse and manage your chart of accounts Help
General List Ledger → General List Browse general journal transactions. Double-click to edit. Help
Cheque List Ledger → Cheque List Browse cheque transactions. Double-click to edit. Help

The Report Library includes the following financial reports for the Ledger:

  • Balance Sheet — assets, liabilities, and equity at a point in time
  • Profit & Loss (Income Statement) — revenue and expenses for a period
  • Trial Balance — all account balances with debit/credit totals
  • Ledger Detail — transaction-level detail for GL accounts
  • Ledger Summary — summary of account activity by period
  • Journal Print — printable journal report
  • Tax Paid & Collected — tax collected on sales and paid on purchases
  • Cheques Not Reconciled — outstanding cheques not yet cleared by the bank

Sales

The Sales area provides screens for analysing sales activity, customer accounts, and AR balances.

Sales Report Sales → Sales Report Summarize sales by date, department, subdepartment, item, customer, or employee. Double-click any row to drill down into the underlying transactions. Help
Transaction Summary Sales → Tx Summary Summarize transaction totals for a date range by type (sales, returns, payments, nosales, etc.)
Customer Inquiry Sales → Customer Inquiry All transactions for a customer: invoices, payments, adjustments, balance. Double-click to open a transaction.
Detailed Statement Sales → Detailed Statement Item-level customer account activity with charges, credits, and running balances Help
Invoice List Sales → Invoice List Browse invoices. Double-click to edit. Help
Customer Return List Sales → Return List Browse returns. Double-click to edit. Help
Receipt List Sales → Receipt List Browse customer payments. Double-click to edit. Help
Shift List Sales → Shift List Browse POS shift records. Double-click to view shift detail. Help

The Report Library includes the following sales reports:

  • Customer Balance — aged AR balances by customer
  • Customer Statement — printable customer statements (summary and detail)
  • Department Sales — sales totals by department
  • Subdepartment Sales — sales totals by subdepartment
  • Store Sales — sales totals by store
  • Hourly Productivity — sales broken down by hour of day
  • Discounts — discounts applied during the period
  • Item Voids — voided items during the period

Purchasing

The Purchasing area provides screens for reviewing vendor activity and purchase costs.

Receive List Purchasing → Receive List Browse receiving transactions. Double-click to edit. Help

The Report Library includes the following purchasing reports:

  • Vendor Invoice Summary — summary of vendor invoices for a period
  • Receive List — printable list of receiving transactions

Inventory

Inventory information screens provide visibility into stock levels, costs, and item performance.

The Report Library includes the following inventory reports:

  • Item On Hand — current quantities on hand by item
  • Item On Hand (Cost) — on-hand valued at cost
  • Item On Hand (Retail) — on-hand valued at retail
  • Item Sales — sales history by item
  • Item Ranking — items ranked by sales volume or margin
  • Item Analysis — detailed item performance analysis
  • Department On Hand — on-hand totals by department
  • Subdepartment On Hand — on-hand totals by subdepartment
  • Store On Hand — on-hand totals by store
  • Out of Stock — items with zero or negative on-hand
  • Price List — current pricing for items
  • Price Changes — price modifications during a period
  • Item Adjustment Summary — summary of inventory adjustments
  • Count Discrepancy — variances between physical counts and system quantities

Report Library

All of the reports listed above are accessed through the Report List (Setup → Reports). The Report Library uses XML report definitions stored on the server. Reports can be printed, previewed on screen, or exported.

When viewing a report, use Report Transactions to drill into the transactions behind any report line.

Custom Reports: Custom XML reports can be created and added to the server’s report directory. They will appear in the Report List automatically.

Common Features

Information screens across Quasar share these common capabilities:

Store Filtering Reports and lists can be restricted to a single store or run across all stores
Print / Preview Reports can be printed directly or previewed in the built-in report viewer
Column Sorting List screens support click-to-sort on any column
Drill-Down Double-click a row to open the source transaction or master record
