Assets & Depreciation

Asset Master

The Asset Master creates or edits an individual fixed asset or software license. It captures identity, purchase, depreciation, warranty/license, and deployment information. Selecting an Asset Type auto-populates GL accounts and the depreciation method. Access from Assets › Assets › New/Edit.

Header Fields

Number

Asset number (up to 12 characters).

Name

Asset name (up to 30 characters).

Asset Type

Asset classification (lookup). When changed, auto-populates:
• Depreciation method (read-only, inherited from type)
• Is License? checkbox (read-only, inherited from type)
• Asset Account, Accumulation Account, Expense Account — only if currently blank

Depreciation

Depreciation method (read-only, set by Asset Type).

Created By

Employee who created the asset (lookup, defaults to current employee).

Store

Store location (lookup, defaults to current store). Changing the store clears the employee.

Manufacturer

Manufacturer name (up to 30 characters).

Model

Model number/name (up to 30 characters).

Serial #

Serial number (up to 30 characters).

Is License?

Read-only checkbox, inherited from Asset Type. Controls which tabs are available (see below).

Replacement Item

Linked inventory item for replacement ordering (item lookup).

Vendor

Vendor the asset was purchased from (lookup).

Purchase Date

Date the asset was acquired.

Asset Cost

Original purchase cost of the asset.

Last Depreciation

Date of the most recent depreciation run.

Accum Depreciation

Total accumulated depreciation to date.

Starting Depreciation

Opening depreciation balance for assets imported from another system.

Asset Account

GL account for the asset's book value.

Accumulation Account

GL contra-asset account for accumulated depreciation.

Expense Account

GL account for depreciation expense.

Inactive

Toggle to deactivate the asset. Inactive assets do not appear in dropdowns or lists.

Detail Tabs

The lower section is organized into tabs: Main (notes), Warranty (physical assets), License (license-type assets), and Deployment (assignment history). The available tabs depend on the Is License? setting.

Main Tab

Asset Notes

Multi-line free-text notes for the asset. In the Asset List, only the first line is displayed.

Warranty Tab

Note: This tab is disabled when Is License? is checked. It is only available for physical assets.

Warranty Start

Start date of the warranty coverage period.

Warranty End

End date of the warranty coverage period.

Warranty Terms

Multi-line text describing the warranty terms and conditions.

License Tab

Note: This tab is disabled when Is License? is unchecked. It is only available for license-type assets.

License Expires

Expiration date of the software license.

Seats

Number of concurrent user seats allowed by the license.

Support Fees

Annual or periodic support/maintenance cost for the license.

Can Re-assign?

Checkbox. Whether the license can be re-assigned to a different employee or workstation.

License Notes

Multi-line text for license keys, terms, or other licensing information.

Deployment Tab

Tracks the assignment history of the asset to employees and locations. Double-click a row to edit an existing deployment.

Add Deployment

Opens the Deployment Dialog to record a new assignment of the asset to an employee and location.

Edit Deployment

Opens the selected deployment record in the Deployment Dialog for changes.

Deployment List Columns

Assigned EmployeeEmployee the asset is deployed to.
Assignment DateDate the asset was deployed.
Return DateDate the asset was returned (blank if still deployed).
Asset LocationPhysical or logical deployment location (up to 40 characters).

Deployment Dialog

The Add Deployment and Edit Deployment buttons open a dialog with the following fields:

Assigned Employee — Employee lookup (security override enabled)
Deployment Location — Free text (up to 40 characters)
Deploy Date — Date the asset was assigned
Return Date — Date the asset was returned (leave blank for active deployments)

Tab Visibility Logic

The Is License? flag (inherited from Asset Type) controls tab availability:
