Serial Numbers

The Serial Number List is the central registry for all serialized items, gift cards, and store credits. It tracks the complete lifecycle of each serial number — from creation through sale, transfer, or consignment — across all stores. It also provides direct access to the Gift Card & Store Credit History screen for balance tracking. Access from Setup › Inventory › Serial Numbers.

Filter Fields

Field	Description
Serial Search	Free-text search. Matches serial numbers containing the entered text (case-insensitive).
Item	Filter by a specific item. Uses the standard item lookup.
Store	Filter by store where the serial resides.
Show	Sale status filter: All, Sold (serial has been sold/transferred out), or Unsold (serial is still available).
Type	Serial type filter: All, Regular Serials, Gift Cards, or Store Credits. Filters based on the item's gift_card and store_credit flags.

Default Columns

Column	Description
Serial #	The serial number identifier.
Status	Current lifecycle status: Available (in stock), Sold (sold via invoice), Transferred (moved via transfer), or Consigned (sent via consignment out).
In On	Transaction number that brought this serial into inventory (receive, adjust, consignment in, or consignment out return).
In Type	Type of the incoming transaction: Adjust, Invoice, Receive, Return, Transfer, Consign In, Cin Return, Cout Return.
Out On	Transaction number that removed this serial from inventory (invoice, transfer, consignment out, or consignment in return).
Out Type	Type of the outgoing transaction: Adjust, Invoice, Receive, Return, Transfer, Consign Out, Cout Return, Cin Return.
Tracking	Serial tracking type: Basic (regular serial number), Gift Card (item has gift_card flag), or Store Credit (item has store_credit flag). Used to quickly identify the nature of each serial entry.

Additional Columns

The following columns can be enabled via list settings:

Column	Description
Item #	Item number associated with this serial.
Item Desc	Description of the associated item.
Expiry	Expiration date of the serial (if set).
Initial Amount	The initial loaded value for gift cards and store credits. Calculated from the i_s_extra “Initial Amount” metadata.
Current Balance	Live remaining balance: Initial Amount minus the sum of all posted tender transactions using this serial number.
Store In	Name of the store where the serial was received.
Store Out	Name of the store where the serial was sold or transferred out.

Gift Card & Store Credit History Button

When a gift card or store credit serial is selected in the list, the Gift Card & Store Credit History button (Alt+H) becomes enabled. Clicking it opens the Gift Card History screen pre-populated with the selected serial number and item, showing the complete transaction-by-transaction balance history.

The button is automatically disabled for regular (non-gift-card) serials.

Actions

Button	Description
Edit	Opens the Serial Master to view or correct serial details (number, expiry, store, extras).
Gift Card & Store Credit History	Opens the Gift Card History for the selected serial. Only enabled for gift card/store credit items.
Inquiry (right-click)	Opens the general Inquiry screen.

Note: The New and Delete buttons are hidden. Serial numbers are created automatically through transactions (receiving, adjustments, invoices). Existing serial numbers can be edited to correct data entry errors.

Filters

Filter

Quick-search the displayed list. Type text to instantly filter rows by matching against the selected column. Use the in dropdown to choose which column to search, and the by dropdown to switch between Starts With, Contains, or Exact Match.

Tip: If you do not see the column you want to search or view, go to File → Configure to customize which columns are displayed in the list. You can add, remove, and reorder columns to suit your workflow.

Sort Column & Method

Choose the column used to sort the list. The dropdown displays all columns you have chosen to view, including any custom column changes you have made. Use the second dropdown to switch between Ascending and Descending order.

Auto Size Columns

When checked, columns automatically resize to fit their contents each time the list refreshes. This ensures all data is visible without manual adjustment.

When unchecked, column widths are saved between sessions. You can drag column borders to set your preferred widths and they will be remembered the next time you open this screen. This is useful when you want a consistent layout regardless of the data displayed.

Serial Search

Free-text search. Matches serial numbers containing the entered text (case-insensitive). Leave blank to show all serials.

Item

Filter by a specific item. Uses the standard item lookup (F9 or F12). Only serials associated with the selected item are displayed. Leave blank to show serials for all items.

Store

Filter by store where the serial resides. Leave blank to show serials across all stores.

Show

Filter by sale status:
• All — Show all serial numbers regardless of status.
• Sold — Show only serials that have been sold, transferred, or consigned out.
• Unsold — Show only serials that are still available in stock.

Type

Filter by serial tracking type:
• All — Show all serial types.
• Regular Serials — Standard serialized items only.
• Gift Cards — Gift card items only.
• Store Credits — Store credit items only.

Sale Status

Filter by sale status. Select a status to show matching serials.

Search

Search field for finding records by name or number.

Serial Type

Filter by serial type. Select a type to narrow the results.

View History

Button to view the history of the selected serial number.
