Linked Items

Item

The primary item to look up. Scan or type an item number. Only sold items are shown in the lookup. When selected, the Description and On Hand fields are auto-populated and the linked items list refreshes.

Description

Read-only. Displays the selected item's description.

On Hand

Read-only. The current on-hand quantity of the selected item at the chosen store. This lets staff immediately see if the primary item itself is in stock before looking at alternatives.

Store

The store used for price and on-hand lookups. Defaults to the current store. Changing the store refreshes all prices and quantities to reflect the new location.

The list shows every item linked to the selected item. All columns are sortable by clicking the header. Columns:

Link Type — The relationship category (e.g., Substitute, Accessory, Upsell). Defined on the Link Type Master.
Item — The linked item's number.
Description — The linked item's description.
Price — The linked item's regular selling price for the selected store's price zone.
On Hand — Current stock quantity of the linked item at the selected store. Helps staff see at a glance which alternatives are available.
Notes — Free-text notes entered when the link was created on the Item Master (e.g., "Same size, lower price" or "Requires adapter").

• Click a row — If a Stock Status window is open, the Stock Status automatically updates to show the clicked item's stock across all stores.
• Double-click a row — Selects the linked item and closes the Linked Items window, passing the selected item back to the calling screen. This is useful when Linked Items is opened from a transaction and the user wants to switch to a substitute or accessory.

Refresh

Reloads the linked items list from the database. Use after making changes to links on the Item Master.

Print

Generates a printable report of the linked items list, including store and item context in the header.

Check All Stores Stock Status

Opens a Stock Status window for the currently highlighted linked item, showing its on-hand quantity across all stores. As you click different rows in the linked items list, the Stock Status window updates to follow your selection. This is the fastest way to find which store has a substitute or accessory in stock.

Close

Closes the Linked Items window.

Scenario: A customer asks for an item that is out of stock.

1. Open Linked Items and scan the requested item.
2. Check the On Hand field — confirms the item is out of stock (0).
3. Look at the list for rows with Link Type "Substitute" that show positive On Hand.
4. Click a substitute to check its stock across all stores via the Stock Status button.
5. Double-click the substitute to select it and return to the transaction.
